Getting started
How do I get access?
Create an account, verify your email, and submit your agency website and business details. Your account shows the status during manual review. Approved agencies use the core tools for free.
Who can apply, and what do you review?
CoreHQ is for digital and marketing agencies. We review your website and public business information to understand the work you do. Missing LinkedIn or Clutch profiles do not automatically disqualify you; solo agencies are reviewed individually. Contact support if you need an update on your application.
Where do I start?
A built-in checklist walks you from signup to your first invoice, including the client, project, and time-entry steps.
Can I bring existing time?
Use the mapped CSV time import. Columns cover client, project, task, date, hours, and notes. A sample file is available on the time-tracking feature page.
Can I use QuickBooks or Xero?
Yes, with manual exports. Download CoreHQ client and eligible open-invoice CSV files, then import them into your accounting software. Some invoices need review. Direct accounting sync is not enabled.
Billing & plans
What is included on Free?
Core agency tools include unlimited team members, projects, estimates and invoices, plus 5 GB of storage per agency. Files expire 90 days after project completion.
What do AI credits cover?
Credits cover CoreHQ AI assistants only. Scoping a development request is included, and development work is quoted and paid separately. Current packs and assistant costs appear on the pricing page.
How do development services work?
Describe the outcome and add reference files in CoreHQ. We clarify the scope and show a fixed quote. An agency administrator approves and pays before work starts. Follow progress and review the delivery in your workspace.
Can I control AI spending?
Agency administrators can set a monthly credit limit. The prepaid balance always applies, and automated billing explanations require opt-in.
Working with clients
What can clients see?
Their portal shows their own company’s projects, progress, milestones, estimates, and invoices, with work requests and submission references. White-label portal Included
Can a client accept an estimate?
Yes. Clients can accept or decline estimates online. An accepted estimate can be converted into an invoice.
How do clients pay?
Clients can review invoices in their portal, and agencies can record payments. Online card checkout for client invoices is not enabled for the free-agency launch.
Product concepts
Are delivery tasks the same as billing categories?
No. Delivery tasks are the work on your project board. Billing categories classify time and its billing rate. The task column in a time import means the billing category.
Do timesheets require approval?
Approvals are opt-in. Enable them when your team needs a review step. Timesheet approvals Included
What happens when I change an hourly rate?
Rates snapshot at entry, so changing a rate later does not rewrite the rate on earlier entries.
What does margin mean?
Margin is billable value minus labor cost, not business profit. Reports warn when cost-rate data is missing. Margin and utilization reports Included
Data & security
Can I export my workspace?
Yes. A one-click JSON export includes the workspace’s core records.
Does CoreHQ support SSO?
CoreHQ supports OIDC single sign-on with providers such as Okta, Entra, and Google Workspace, with optional enforcement. Google and GitHub sign-in are also supported.
How do roles work?
Admin, member, and client role floors are enforced on the server. Client portal access is scoped to the client’s own company records.
